Recurring Billing & Subscriptions

Recurring billing and subscription software, billed and collected on schedule.

EloERP bills your customers weekly, monthly, quarterly or yearly without anyone typing an invoice. Each billing run writes the invoices, sends WhatsApp and SMS reminders with a pay link, suspends customers who do not pay, resumes them when they do, and posts it all to your accounts.

What is recurring billing software?

Recurring billing software invoices your customers automatically, on a schedule, for a service they subscribe to: an internet package, a gym membership, a maintenance contract, guard services, a school van seat or rent. You set up each plan once; after that the system writes every bill on the right day, reminds the customer, takes the payment and tells you who is behind.

In EloERP, recurring billing and subscription management sit inside Sales. A billing run produces ordinary EloERP sale invoices, so everything that already works on an invoice keeps working: customer ledgers, receipts, bulk payments, prints, the PDF on WhatsApp, your tax authority integration and your reports. Nothing in the module needs to know what you sell.

The billing month

How subscription billing works, from sign-up to month-end

Every subscription business runs the same month, whatever it sells. Today that month lives in a spreadsheet, a register or a router's user list. EloERP carries each step into the next.

Sign-upCustomer picks a plan; one-time charges and a refundable deposit are added; area, collector and your own fields filled in
Bill dayThe nightly run invoices every subscription that is due, in advance or in arrears, pro-rated where the plan says
RemindersWhatsApp, SMS or email before the due date, on it and after it, each with the bill PDF and a pay link
CollectCounter, recovery agent, bank transfer or the online pay link; partial payments settle the invoice by the amount paid
Suspend & resumeUnpaid after the grace period: suspended. Paid in full: resumed, with the router or door switched back on
Month-endBilled against collected, outstanding by area and agent, active and churned counts, revenue by plan, MRR
A period is never billed twice. Each subscription period is locked the moment its invoice is written, so a second run or a restart only skips.
You decide on unpaid customers. Keep billing and collect the arrears, or stop billing a customer whose last bill is still unpaid. One switch per plan.
Subscription plans

Subscription plans for any service, on any cycle

A plan is what you sell and how often. Each plan points at a service product, so its revenue and tax follow that product like any other invoice line, and the same service can go on a quotation or an order.

  • Any cycle: one-time, weekly, monthly, quarterly, half-yearly or yearly, or every N of them.
  • In advance or in arrears, on a calendar bill day (the 1st, or any day up to the 28th) or on the anniversary of each start date.
  • Due days, grace days and a pro-rated first period per plan, plus an optional trial period.
  • One-time charges on the plan: installation, setup, equipment, joining fee or a site survey, billed once on activation or on a date.
  • Refundable deposits held as a liability, not revenue, and settled when the customer leaves.
  • Late fee (amount or percent) and reconnection fee, each added to the next bill.
Subscription management

Subscription management: every customer, status and next bill

A subscription is one customer on one plan. It keeps the price agreed at sign-up, the quantity and any discount, the start and end dates, the next bill date, and the area, route and recovery agent who collects.

  • Statuses you can filter by: draft, active, on hold, suspended, cancelled and ended.
  • Your own fields on the subscription and customer forms (PPPoE user, card number, contract number, site, vehicle), searchable in the list and printable on the invoice.
  • Upgrade or downgrade mid-period with a pro-rated charge or credit on the next bill, or from the next period.
  • Hold from one date to another (a customer travelling): no bill for a period inside the hold.
  • Price changes reach existing subscriptions only when you apply a new price from a date. Invoices already issued never change.
  • Cancel with a final bill or a pro-rated credit, and refund the deposit or set it off against dues on the same screen.
  • Full history: created, activated, billed, paid, reminded, suspended, resumed, plan or price changed, held, cancelled.
Automatic billing

Automatic billing software that writes every recurring invoice

The billing run goes every night at 00:30 in your company's own time zone, and the same run sits behind a Run billing button for anyone who wants to bill by hand. Preview it first: a preview writes nothing and shows exactly what would be billed.

Never twice, even after a crashEach period is locked inside the same step that writes its invoice. Run it again, or let a late run catch up a missed date: anything already billed is skipped and counted.
Confirmed invoices, or draftsInvoices are confirmed by the run so the customer owes the money and the ledger is posted. Prefer to review first? Switch the company to drafts.
Everything on one billThe plan at its agreed price and quantity less any discount, recurring add-ons, one-time charges due this period, a pro-rated first period, late and reconnection fees.
Clear invoice linesEach line reads like "Internet 20 Mbps, Nov 2026", and the invoice header carries the subscription number.
Paper bills door to doorPrint this run puts every invoice of a run into one PDF for businesses that still hand out paper bills.
A register of every runWhen it ran, who ran it, how many were billed, skipped or failed, the total, and a line per subscription you can drill into.
Reminders & collection

Payment reminders on WhatsApp and SMS, with a pay link in every message

Set your reminder ladder once. Each step goes out by WhatsApp, SMS or email in your own wording, once per invoice, with the bill PDF and a link to pay online. Every channel stays off until you switch it on, and a daily cap per channel keeps message costs in check.

Pay link on any invoiceThe pay page shows the bill and only the gateways you have switched on: JazzCash, Easypaisa, Stripe and PayPal, plus bank details for manual confirmation. It works for any sale invoice, not only subscriptions.
My account pageEach customer has a private link to their current plan, status, open bills with pay buttons, payment history and past bills. It travels in every message.
In the customer's languageMessages use your own templates and wording. The pay and account pages follow EloERP's 10 languages and your currency and date format.
Recovery agents

Recovery by area: collection sheets for every agent

Each subscription carries the recovery agent who collects it, taken from the customer's area. Your agents work from a sheet, not a notebook, and every rupee they bring back lands on the right invoice.

  • Daily collection sheet per agent: open bills in their areas, printable, with boxes for the amount received.
  • Bulk receipt entry by agent back at the office, settling many invoices at once and stamping who collected.
  • The field sales app records a receipt against an invoice at the door, offline, with GPS.
  • Partial payments and advances: a receipt settles the invoice by what was paid; an advance stays on the customer's ledger and the next reminder shows the net due.
  • Agent performance: billed, collected and outstanding per area and per agent.
Auto-suspend & reconnect

Auto-suspend and reconnect: MikroTik billing integration and webhooks

When a bill is still unpaid at the end of its grace period, the subscription is suspended: the customer gets a message, your staff get an alert, and the systems you connect act on it. Payment in full resumes it by itself, unless you prefer a staff member to resume it.

  • MikroTik RouterOS: EloERP disables the customer's PPP secret or address-list entry on suspend and enables it again on resume. No one logs into the router.
  • Webhook for everything else: activated, suspended, resumed, plan changed and cancelled are sent to your URL with the subscription and its custom fields, protected by a shared secret. Any router, door controller or CRM you script against can act on them.
  • Reconnection fee added as a one-time charge on the next bill.
  • Suspended periods are not billed by default, because the customer was not served. Bill them anyway with one switch per plan.

Subscription invoices & accounting

Subscription invoices that post to your accounts and your tax authority

A subscription invoice posts exactly like any credit sale in EloERP accounting: the customer's receivable, revenue and tax. Receipts clear the customer. No new voucher types to learn.

  • Revenue by plan: point a plan at its own income ledger to see internet revenue apart from router sales.
  • Deposits post to a Customer Deposits liability and are refunded or set off when the customer leaves.
  • Deferred revenue, for accountants who want it: advance bills post to unearned revenue and a month-end journal moves each month's share to revenue. Off by default for cash-basis simplicity.
  • Tax follows the service product, and the invoice goes through whichever tax authority integration your company has switched on, exactly as any other sale invoice does.
  • A filed invoice is never edited. Late fees, pro-rations and corrections go on the next invoice or a credit note.

See all tax authority integrations.

Maintenance contracts

AMC billing software for annual maintenance contracts

  • One subscription per contract, with the contract number as its reference and the site and equipment list as custom fields printed on the invoice.
  • Site survey or installation as a one-time charge on the first bill.
  • Service visits scheduled as bookings in EloERP's Service module, against the same customer.
  • Renewals: the expiring-contracts report lists every contract ending in the next N days, and an alert flags those ending within 7 days.
  • Paused contracts: suspend on non-payment, or put a contract on hold while a site is closed.

FAQ

Recurring billing and subscriptions: questions

What is recurring billing software?
Recurring billing software invoices customers automatically on a schedule (weekly, monthly, quarterly or yearly) for a service they subscribe to. In EloERP, a billing run writes ordinary sale invoices from your plans and subscriptions, sends reminders with a pay link, suspends and resumes customers on payment, and posts every invoice and receipt to your accounts.
Can EloERP send recurring invoices automatically?
Yes. The billing run goes every night at 00:30 in your company's own time zone and bills every subscription that is due, or you press Run billing yourself. Once you switch the channels on, each invoice and each reminder goes out by WhatsApp, SMS or email with the bill PDF and a payment link.
Can a customer be billed twice for the same month?
No. Each subscription period is billed once. If the run is repeated, or restarts after an interruption, anything already billed is skipped and counted as skipped in the billing run register. You can also preview a run, which writes nothing, before any live run.
Which payment methods can customers use?
Cash at your counter, a recovery agent at the door, a bank transfer, or the online pay link. The pay page shows the gateways you have switched on (JazzCash, Easypaisa, Stripe and PayPal) plus your bank details for transfers your team confirms. A gateway payment posts the receipt against the invoice automatically, and partial payments are allowed.
Can it disconnect customers who do not pay, and reconnect them when they pay?
Yes. With auto-suspend on, a subscription still unpaid at the end of its grace period is suspended, the customer is told and your staff get an alert. Payment in full resumes it. For internet providers on MikroTik, EloERP disables the customer's PPP secret or address-list entry on suspend and enables it on resume. Any other router, door controller or system can act on the same events through the webhook.
Do subscription invoices go to FBR and other tax authorities?
Subscription invoices are normal EloERP sale invoices, so they go through the tax authority integration your company already uses: FBR, PRA or KPRA in Pakistan, ZATCA, MyInvois, UAE e-invoicing or Lekuka. Tax comes from the service product on the plan. A filed invoice is never edited; late fees and corrections go on the next invoice.
Can I bring my customers over from a spreadsheet, arrears included?
Yes. Enter each customer's arrears as an opening balance on their ledger, then start the subscription on its original date with the last billed period already set, so the first billing run bills only the current period.
How are security deposits and advance billing handled in the accounts?
A refundable deposit posts to a Customer Deposits liability, not to revenue, and is refunded or set off against dues when the customer leaves. If your accountant wants it, deferred revenue can be switched on: advance bills post to unearned revenue and a month-end journal moves each month's share to revenue. A plan can also post to its own income ledger.
Is there a free trial?
Yes, a 15-day free trial with no credit card. Choose Subscription / recurring billing when you sign up, and tick Sample data if you want plans, customers and invoices to explore straight away.
